The International Diabetes Federation (IDF) is an alliance of over 250 national diabetes associations in more than 160 countries and territories. IDF has been at the vanguard of global diabetes advocacy for 75 years.

We are seeking a part-time Executive Assistant to support the IDF President, President-Elect, and Executive Director to increase the efficacy of their stakeholder relationship management.

This position will be a one-year fixed-term contract, which could be extended.

The Executive Assistant will be a self-employed consultant working remotely.

Purpose of role

The Executive Assistant is a support function, responsible for coordinating the activities of the Presidents and Executive Director for the Federation.

The Executive Assistant will coordinate their schedule, travel and correspondence and support their preparations for activities involving external and internal stakeholders, ensuring continuous alignment with IDF’s strategic and operational objectives.

Key responsibilities and activities
  • Manage the President and President’s elect’s correspondence
    • Manage inbound enquiries to the President’s inbox. Drafting responses to inbound emails and sending outbound communications at the request of the President
    • Ensure requests and queries are addressed and agreed follow-up actions triaged in collaboration with the Executive Director.
  • Coordinate the agenda and travel of the President, President-Elect, and Executive Director
    • Organise and manage all logistics for travel, including bookings, visas, itineraries, and expense reporting.
    • Maintain an up-to-date online diary of all events where the President, President Elect and Executive Director represent IDF and align with relevant staff on messaging.
  • Support the President’s external IDF social media presence in collaboration with the IDF Communications department.
    • Collect relevant inputs to ensure alignment on communications output and timely publication on IDF communications channels.
    • Liaise with the Executive Director, President and President-Elect on upcoming communications opportunities and needs.
  • Provide general administrative support to President and President -Elect initiatives.
  • Liaise with the Executive Directors’ team to secure effective coordination between the President, President-Elect and the Board on statutory meetings.
  • Provide ad hoc administrative and logistical support as required by Executive director.
Skills/Competencies/Experience

The ideal candidate will have:

  • A bachelor’s degree or higher, or equivalent relevant professional experience.
  • Approximately 2-3 years of experience in an executive support role for senior leadership and/or stakeholder management.
  • Strong organisational and time-management skills, with the ability to handle multiple priorities in a fast-paced environment
  • Demonstrated experience, working remotely within an international and multicultural setting.
  • Native or near-native fluency in English (both written and spoken); additional languages such as Spanish and/or French are an advantage.

  • Excellent interpersonal and communication skills.
  • A high degree of discretion, integrity, and professionalism.
  • Knowledge of, or a background in, global health – particularly in diabetes – is a strong asset.
  • Alignment with IDF’s values, ethics, and mission.
